Connect Diary Page
Overview
The Connect Diary page provides a clear and organised view of all patient appointments synchronised from your Practice Management System (PMS). It allows staff to manage daily clinic workflows efficiently by viewing, filtering, and performing actions on scheduled appointments.
Accessing the Diary
You can access the diary by navigating to Admin → Diary → View Patient Appointments in the Connect portal.
This opens the appointment management interface, displaying all appointments for the current day by default.
Viewing Appointments
Today’s Appointments
Upon opening the diary, you will see Today’s Appointments.
These are automatically pulled in from your PMS and listed with key details such as:
Start Time
Patient Name
Date of Birth (DOB)
Doctor Name
Clinic Room
Arrived Status
If no appointments are scheduled for the selected time period, a message stating “No appointments” will appear.
Tomorrow’s Appointments
You can also view appointments scheduled for the next day by selecting Tomorrow from the filter dropdown menu. This helps with preparation and scheduling for upcoming clinics.
Time Filters
Appointments can be filtered for easier viewing:
All Day – Displays every appointment for the selected day.
Morning – Shows appointments scheduled before midday.
Afternoon – Lists appointments scheduled after midday.
Evening – Displays late-day appointments, where applicable.
This breakdown allows users to focus on specific parts of the day based on clinic operations.
Searching for Appointments
At the top of the page, there is a search bar where users can quickly find specific appointments.
You can search by patient name, doctor name, or other appointment-related details.
This feature is especially useful for large clinics or busy days with multiple patient bookings.
Appointment Actions
Each appointment entry includes a set of action buttons that enable quick patient management and communication between clinic staff and clinicians.
Call Patient to Reception
Use this action to notify reception that the patient has arrived or to call the patient forward from the waiting area to the reception desk.
Mark Patient as Arrived
When the patient checks in, click this option to update their appointment status to Arrived.
This helps track patient flow and ensures the clinical team knows the patient is ready to be seen.
Call Patient to Clinic
This option allows you to call the patient into the clinic room when it’s their turn.
If a clinician or clinic room hasn’t been assigned, you can do so at this stage before the call is made.
Clinical Note
Clinical Notes enable Clinicians to quickly add information via connect to the patient record, this can be done at anytime, but specifically when the PMS is not available. For more information see XXXXX
Adding a clinical note
From the diary, you can quickly add a clinical note related to the patient’s appointment. This is available in both online and Echo cloud mode and ensures all relevant clinical observations or updates are captured promptly with the option of pushing into the patients PMS record.
6. Tips and Best Practices
Use the time filters to manage busy clinic schedules efficiently.
Always mark patients as arrived to keep the diary up to date for all staff members.
Assign clinicians and rooms ahead of time to streamline the “Call to Clinic” process.
Encourage staff to add clinical notes promptly to maintain accurate records.
Use the search feature to locate appointments quickly, especially during peak hours.
